“Always approach what is known like it is unknown to learn more than you ever knew before.”

― Jeffrey G. Duarte

With the above quote, we can learn to be open minded with no assumptions when approaching a client to understand his requirement, as every situation, every client, every venue is different and deserves a customised and most optimum solution

Understanding & Preparing for a Solution

  1. Analyzing the needs of the Client – We believe that establishing good communication with the client since the beginning is essential for her to build trust in your company’s capabilities. Active Listening and handling sensitive topics nicely is very important. Conducting Initial meetings with clients where we focus on understanding the Functional requirements in plain language and not discuss specific equipment. We need to make sure that everyone from the client and related services side is present in the meeting to give their inputs. This is the most important part of a project and decides on which direction we have to move in.During these discussions we try to analyze the needs of the clients in terms of – any specific activities the end-user would like to accomplish,  we try to understand what Applications this system will be used for like Training, Videoconferencing, etc and define performance parameters accordingly and Finally, we try to understand what all tasks and functions shall be performed by end-users, for example, making presentations, taking notes, etc.. The client is not technical and doesn’t understand these systems like us. For making the client understand his needs better, we at times, request clients to suggest any facility they have visited recently or best is to visit a facility along with them as a benchmark, for taking his feedback on the systems installed there.Once we are clear on the above, we request the client for drawings to understand the space better and also visit the site once if it is in a position. We also try to understand the site related constraints to work around them.
  2. Understanding & Evaluating the site environment Understanding the Health and Safety requirements at work site, gathering necessary site information and understanding the space properly for example identifying where the provision for control room is made, store room location etc. We always carry a printout of drawings whenever visiting the site for better understanding. Evaluating requirements of all spaces individually in terms of functionality and assessing the space environments for any challenges to support those functional requirements.
  3. Creating and documenting the Deliverables in terms of Functional AV scope – We now create a DBR(Design Brief Report) or an Executive summary,  compiling all information in an easy to understand format giving an overview of the complete system and defining all functionalities area wise, site constraints and defining performance parameters. Tentaive budgets area wise are also given for client’s agreement. This once approved by the client, we then move on to designing of detailed solution.

Designing AV Solutions

Detailed knowledge and study are required to design any kind of PA-BGM, Sound reinforcement, Display System, Video Distribution, Control, and Integration with IT and other related services. In addition to mathematical calculations, 3D Audio simulation etc.., Experience also counts a lot and  gives you a practical approach towards solutions being proposed.

Building AV Solutions

  1. Project Management – Managing and coordinating activities at the site with other services and keeping a track of daily activities and milestones is an important task to ensure quality and timely completion of the project. AV Project Manager is responsible for all project management activities and plays a crucial role in the smooth execution of the project.
  2. Installation of Equipment – Utmost safety precautions are taken by us while installing all equipment be it physical or Electrical. Knowledge, skill, and experience are needed during the installation phase of the project. A team of site engineers and technicians are involved working under the supervision of the Project Manager.
  3. Testing & Commissioning – Team of programmers and application engineers is deployed for taking up Programming, system setup up, tuning, testing, and commissioning of the system. Performance parameters as defined during the design phase are achieved, verified and a measurement report is prepared.
  4. Training & Handing over – We focus a lot on training the client team on system operations, troubleshooting, and Do’s and Don’ts and handover all necessary documents like product manuals, installation guides, product warranty certificates, program files required for the client to refer to in future if needed.

Operation & Maintenance

System operation is mostly handled by the client appointed personnel’s from its existing team. We train them thoroughly and hand hold them initially for inaugural and few more programs till they become confident.

One year onsite system maintenance is offered by us as a standard for every installation we do. In this we do periodic visits and check for correct functioning of all equipments and functions and do corrections/repairs as needed.

Extended System warranties or Annual Maintenance charges  are offered by us on chargeable basis with service agreements varying from  project to project. All activities during periodical visits are recorded and documented on paper which helps us identifying any bigger issues in later years and track the problems more efficiently.
